1. Objective The objective of Document Delivery Service System (DDS) is to improve the preparation and published materials in original form or copy especially through library from national sources for future user in the country among members of PERPUN libraries.
2. Scope DSP is implemented for ease of information transfer, for the purpose of learning, teaching and research. Members of PERPUN are responsible to provide materials.
3. Materials 3.1. Materials which are provided 3.1.1. Printed materials like books, seminar proceedings and reports 3.1.2. Copy as a change to the original material which cannot be borrowed 3.1.3. Other materials which is allowed by the Supply Library 3.2. Application must be in line with the Copyright Act 1987 and Copyright Act (amendment) 1990. Members of PERPUN who provide the materials are responsible to ensure that the materials supply are not against the Copyright property. For unpublished materials like thesis, permission from the author is necessary. 4. DDS Application 4.1. Members of PERPUN need to check with the OPAC of the library before sending the application. Search evidence like call member or OPAC’s print screen need to be attached with the application*. However, in some situation (unsuccessful access to OPAC), applicant may proceed without the search evidence with the statement of why the checking can’t be performed 4.2. Application method 4.2.1. DDS Application can be apply using SAP form 4.2.2. DDS Application can be perform using e-form at the PERPUN portal 4.2.3. Application through email can be perform with the attachment of OPAC’s print screen.
5. Information needed in DDS application 5.1. Complete bibliography should be given with the application of DSP which to be sent to the other library 5.2. Lending library should check the information that was provided by users and if possible state the source of information.
6. Terms of supply 6.1. Borrowing and Renewal 6.1.1. Lending Library should adhere to terms in the memorandum of supply (SPP) but it is still based on policy given by the Supply Library. 6.1.2. Supply Library need to process all application received from lending library by - responses not more than 3 days - supply materials not more than 5 days 6.1.3. Lending Library is responsible for the security of all borrowing items. Lending Library also responsible to bear for the cost of conservation or replacement if the material is lost or damage. 6.1.4. Supply Library should check the condition of material before supply the items. Lending Library should also check the condition of materials when they receive and return the items 6.2. Returning of Material 6.2.1. Each material (supply or return) should be wrapped with plastic before mailing to avoid damage. 6.2.2. Material which is courier must using POS Laju 6.2.3. Copies in digital or scanner will be sent through e-mail for the purpose of quick delivery 6.2.4. Members of PERPUN in Klang may use the service of SPP van for supplying /returning materials 6.3. Application limitation 6.3.1. Book – each library may borrow up to 10 books at one time 6.3.2. Articles – no limitation number for articles, however Lending Library is advised not to send too many application at one time to the library
7. Duration of Borrowing/Renewal 7.1. Minimum duration for printed materials is one month 7.2. Supply library has the authority to decrease the duration where necessary 7.3. Lending library is responsible to return all borrowing items based on the due date 7.4. Renewal if applicable if the material has not been reserved by others. Duration of renewal is one month.
